How to connect Zoho with Rasayel
Step 1: In Rasayel, select Integrations, and then click on Zoho:
It will lead you to the Zoho integration management page where you can connect your Zoho organization or manage your previously connected organization.
Step 2: Click “Connect Zoho”
It will redirect you to the Zoho connection flow
Step 3: Go through Zoho’s connection flow
3.1. Select the organization you want to connect to Zoho
3.2. Confirm that you agree to Rasayel accessing your data by clicking “Accept”
That’s it! Your Zoho Organization is connected to Rasayel now. 🙌
Zoho: How does it work with Rasayel?
With our Zoho integration you can:
- Match Rasayel contacts to your Zoho Leads/Contacts
- View matched Zoho Lead/Contact properties, alongside the contacts’ Deals and Accounts
- View WhatsApp messages sent from Rasayel to your Zoho Leads/Contacts
- Build powerful analytics based on WhatsApp messages sent to your contacts!
Contact Matching
We automatically match Rasayel contacts to equivalent Zoho Leads/Contacts, and display this information on the right sidebar of your Rasayel inbox (under the contact card).
Our Zoho integration will attempt to match a Rasayel contact by phone, and will show any matched Leads/Contacts.
When you activate your Zoho integration, at the right sidebar you’ll see the Zoho area:
There are different states a Rasayel contact can have:
- No matched Lead/Contact found
This will appear for Contacts whose phone were not found on any of your Zoho Leads/Contacts.
- Matching Lead found
This will appear when we successfully match a Lead by phone. We’ll display the properties that we fetched directly from Zoho.
- Matching Contact found
This will appear when we successfully match a Contact by phone. We’ll display the Contact alongside it’s associated Deal and Account, if they exist
Viewing Matched Leads/Contacts in Zoho
You can view the matched Lead/Contact by clicking the “Open” button on the sidebar, this will redirect you to your Zoho organization where you can view those records.
Managing Displayed Attributes
You can manage which attributes are displayed for each entity by clicking the Manage button below the entity’s information.
You will be able to then select or unselect any attributes you want, on any entity.
Once you finish selecting your desired attributes, click on “Done” and Rasayel will display those attributes from now on.
Creating Leads from Unmatched Rasayel Contacts
In case of a new Lead reaching to you on WhatsApp, the Lead will probably not exist yet in Zoho. In which case, you can quickly create a Zoho Lead with the click of a button!
Just click on “Create new lead in Zoho”
The Lead will be created properly on Zoho and will now be matched automatically
Linking Existing Leads/Contacts to Unmatched Rasayel Contacts
In case the Rasayel contact does not automatically match an existing Lead/Contact due to the phones mismatching, you can manually link the contact by searching for the Lead here:
Once linked, the Lead/Contact will always be shown for this Rasayel contact until it is unlinked manually. You can unlink the linked Lead/Contact by clicking “Unlink”.
WhatsApp Conversations Logging
WhatsApp Conversations engaged on Rasayel are automatically logged into a Note on the matched entity. This can help salespersons to see the history of the conversation with this Lead/Contact at a glance!
The first message in a conversation will create a new Note. Then, messages sent within 24 hours from every subsequent message will be part of this Note. If the time window between any two messages is more than 24 hours, a new Note will be created.
Build Analytics with Rasayel WhatsApp Messages Entity
Whenever any of the Rasayel agents send messages over WhatsApp, these messages are automatically logged in a custom entity called ‘Rasayel WhatsApp Message’
Each outbound message in Rasayel will have a created record on the Zoho: Rasayel WhatsApp Messages entity type.
These created records will have many attributes:
- Message Body: contains the contents of the message
- Message Type: indicates the type of the message. Can be ‘text’, ‘image’, ‘video’, ‘attachment’.
- Template Name: name of the WhatsApp template used, if any.
- App User ID/Name/Email: information about the sender of the App User.
- Conversation/Channel/Channel Name: information about the Rasayel conversation & channel
These records are beneficial because you can use them to construct powerful analytics!
To create analytics based on WhatsApp Messages:
- Head to the Analytics section
- Create a new chart on the dashboard, and choose the module as “Rasayel WhatsApp Messages”
- Select the Measure and Grouping based on the attributes mentioned before, to construct the report to your liking
- View your constructed report, for example: here is a chart counting WhatsApp Messages by their type
